Administrative Assistant

Grade 3, £24,796 to £25,185 pro rata per annum

13 hours per week over 2 days (08:30 – 15:30 term time only)

Fixed term 1st September 2026 – 31st March 2027

The Governors and Headteacher at Aston by Sutton Primary School are seeking to appoint a hardworking, personable and highly organised Administrative Assistant to join our team.  This is a fixed term post, starting 1st September 2026 until 31st March 2027.

Working with the Headteacher, Bursar and Governors, you will take responsibility for administrative tasks in the school office.  

Job description & duties

Managing school meal/trips/club bookings and payments
Co-ordinating educational trips and residentials
Assistance in admissions enquires
School photograph administration
Communicating with members of the school community, staff, governors, children and parents
Liaising with external agencies, suppliers and stakeholders
Maintaining pupil records
Monitoring attendance & absence administration
Providing a secretarial support to the Bursar & Head teacher
Provide full administrative support to the school
Receive visitors & provide hospitality, where appropriate
Answering phone calls and email enquiries
Contributing to the effective and the efficient running of the general office
Maintain an up to date working knowledge of the systems of IT within the administrative practice
To operate and maintain the school’s management information systems
To operate other school systems including for example ParentPay, School Spider, Arbor


This role requires:

a friendly and welcoming personality
a good sense of humour, empathy and confidentiality
the ability to be flexible, adaptable, a good problem solver and ability to multitask in a busy working environment
an understanding of safeguarding and the need to protect the welfare of children at all times
strong organisational and communication skills
a high level of IT literacy to include proficiency in Microsoft Office
experience of administration
experience of school-based IT systems beneficial but not essential- e.g. Schoolcomms, Unit 4, Arbor
